In this article all the enrollment statuses are explained


A student Enrollment will have one of the following statuses:


Campus Vetting

When an Enrollment is created the first status will automatically be Campus Vetting.


Campus Vetting Attending Classes

  • If a student has not yet submitted all sign up documentation but is attending classes already the campus administrator can click on the Attending classes button:
  • This will create the enrollment status of  Campus Vetting Attending Classes. 
  • If the student has a valid class group the student will be included in attendances from the next week onwards.

 

Campus Approved Final Approval Pending

  • As soon as all the sign up documentation is verified the enrollment status will be set to Campus Approved Final Approval Pending.
  • If the student has a valid class group the student will be included in attendances from the next week onwards.
  • If any sign document is disregarded the Enrollment status will go back to Campus vetting or Campus Vetting attending classes status (depending on the previous status of the enrollment). 


Rejected 

  • If the student does not comply with the regulations of the study agreement (i.e. for example the student is too old or too young, or is currently employed, etc) the student enrollment will be Rejected
  • This status can either be assigned automatically (in the case of validating the student age), or manually (in the case where the student is already employed elsewhere).


Cancelled

  • If a student does not comply with study arrangements the student might be cancelled. This might happen automatically (in the case where NO sign up documents were submitted after 90 days) or manually if needed. 
  • If at any time during his/her studies the student wish to cancel his / her studies the enrollment status must be manually set to Cancelled.
  • The comment is mandatory when cancelling an enrollment. 
  • An SMS will be send to the Student, stating that the Enrollment has been cancelled.

iCollege: Enrollment for  {Student First Name} + {Student Last Name}, was cancelled.


Approved 

  • After all sign up documents have been received and verified a student needs to be called to confirm he / she wants to continue with studies. 
  • After the student agreed to continue with studies the student will be approved manually by clicking on the Approve Student button 


Vetting Change Course 

  • If a student whish to change course after the student enrollment has been approved, the student enrollment status needs to be set to Vetting Change course. The student needs to be approved again with the new course. 
  • Please refer to Process to Change Course for the detailed process to change a course on a student.


Conditionally Approved For Future Studies

  • If a student Enrollment is approved where the Intake Date (Class start date) is not in the current calendar year, the student status will be Conditionally Approved For Future Studies. This will ensure that these students are excluded from the current year's reporting and not allocated to Employers.

  • Specify the Intake Date (Class start date) MONTH for which students must be approved. If all is applicable, choose the All Intake Months option.
  • Specify Intake Date (Class start date)YEAR.
  • Press the Bulk Approve Future Pending Students button. All these student enrollment with a Intake Date (Class start date)  as specified will change from Conditionally Approved For Future Studies to Approve.


Pending Outstanding Unit Standard

After the End Date (Class end date) has passed, the Enrollment status will automatically be changed to Pending Outstanding Unit Standard IF:

  • Enrollment current status is Approved
  • End Date (Class end date) has passed
  • Any unit standard assessments (POE's) have not been submitted yet

As soon as all unit standards are submitted the enrollment status will change to Pending Assessing And Moderation


Pending Assessing And Moderation

After the End Date (Class end date) has passed, the Enrollment status will automatically be changed to Pending Assessing And Moderation IF:

  • Enrollment current status is Approved or Pending Outstanding Unit Standard 
  • End Date (Class end date) has passed
  • Any unit standard assessments (POE's) have not been assessed yet.

As soon as all unit standards are assessed the enrollment status will change to Studies Completed 


Studies Completed 

After the End Date (Class end date) has passed, the Enrollment status will automatically be changed to Studies Completed IF:

  • Enrollment current status is Approved or Pending Assessing And Moderation 
  • End Date (Class end date) has passed
  • All unit standard assessments (POE's) have been submitted and assessed.
