Please note: In the number of days we exclude all public holidays as loaded in the system as well as 


Compliance call list:

  • In the system you can find the Compliance call list of all students who needs to receive notices under the Compliance Call list menu item. 
  • The student compliance and iPeople compliance are listed separately.
  • A student will appear on this list if he/she has: 
    • a latest compliance status of Yellow / Orange or Red 
    • AND a Sub Status of "Awaiting Call"
  • I.e. al the students who needs to receive notices will be on the list.
  • Please note: We currently have 3 notices in the system, but iCollege only sends notice 1 and 2. All Students in Red compliance status 


How to send Notices:

Student compliance and iPeople compliance notices can either be sent manually one at a time or it can be send in bulk

  • Manual one at a time:
    • Go to the Compliance call list in question (i.e. either student compliance or iPeople compliance call list)
    • Search for the student in question.
    • Click on the Student Performance Notice button:
    • The notice in question will be sent to the student.
    • The notice sent will be saved as Enrollment attachment 
    • And communication to the student will be noticeable on the student communication 
  • Bulk sending of notices:
    • The notices can also be sent in bulk by clicking on the buttons under the quick filter at the top of the screen
  • As soon as the notice is sent the Sub status of the student compliance / ipeople compliance will be "Notice sent"
  • NOTE: Sending Student compliance and iPeople compliance happens independently on the different screens.

 



Student Compliance:

  • When a student Enrollment is Approved we create a new green compliance status.


  • The next evaluation date  for this first green compliance is calculated as follows: 

Enrollment Approved date + Initial compliance Days as set in preferences 


  • On the next evaluation date we check if the student: 
    • attended any lectures 
    • or submitted any assessments (i.e. POE's)
    • or have any Ad hoc Activity

in the time between the following dates the following start and end dates

Start date is the max of: 

  • Start of of compliance according to preferences
  • Academic start date (intake date)
  • Created date of the enrollment approved status

End date: Next evaluation date

 

  • If the student complied according to the above we will create a new Green compliance status on the day after the next evaluation day.
  • If the student did not comply according to the above we will create a Yellow compliance status with sub status "Awaiting call" & the 1st notice will be available on the student to send manually.

  • NOTE: Compliance will not continue while sub status is "Awaiting call". I.e. if the notices are not sent out compliance will stay unchanged and not continue.
  • In the case where compliance is Yellow status the End date / Next evaluation date will be:

Previous compliance status Notice sent date + Continuous compliance Days as set in preferences


  • This process will continue until compliance reach red status OR until the Enrollment ends.



 


Ipeople compliance


  • When the student is created we create a new green compliance status with sub status 

  • On the next evaluation date for this first green compliance is calculated as follows:
    • Enrollment approved date + Yellow Compliance days as set in preferences 
  • On the next evaluation date we check if the student: 
    • have any ipeople tasks that is Task started or Task approved

in the time between the following dates the following start and end dates

Start date is the max of 

  • Start of of compliance according to preferences
  • Academic start date (intake date)
  • Created date of the enrollment approved status

End date: Next evaluation date


  • If the student complied according to the above we will create a new Green compliance status on the day after the next evaluation day.
